How the alumni association handles your information on this platform. Version 2026-10-v1, for the association’s approval.
Who we are
The Zamboanga Chong Hua High School Alumni Association (ZCHHSAA) runs this platform to hold its elections and keep its membership records. The association is the personal information controller. Nexzys Intelligence operates the platform on the association’s behalf.
What we keep about members
Your name (and Chinese name or other name where the list has one), batch year, membership type and status (including whether a member is recorded as deceased), any remarks, mobile number and email address where we have them, and the years for which your dues are recorded, as kept in the association’s membership list. The platform gives each record an internal reference number. We use these to confirm who may vote, to contact you about the election, and to keep the association’s records.
What happens when you vote
- Your phone’s location is checked once to confirm you are on campus. It is not stored.
- We record that you voted: the time, whether by phone or at a desk, whether a proxy or an assisted vote, and your receipt code. This is how each member gets one ballot.
- Your choices are stored separately and anonymously, with no link to you or to the time. Nobody, including the election officers and the people who built the platform, can see how any member voted.
- If the batch and name you enter don’t match a member, the attempt is counted against the voting session, not against you by name.
Consent to be contacted
On the ballot you may tick a box agreeing that the association keeps your contact details to send election updates, news, events and member services through its alumni platform. This is optional: you can vote without agreeing, and you can withdraw at any time by contacting the association. We record when you agreed and which wording you saw.
Officers
Election officers sign in with their name, email and role. Every action an officer takes on member records, dues, officers or the election is written to an audit log that cannot be edited or deleted.
Where the data is
In a database hosted by Supabase in Singapore, under a data processing agreement, and served through Vercel. Only signed-in officers can see member records, each according to their role. No advertising or analytics trackers are used. One font file is loaded from Google Fonts; the committee’s map uses OpenStreetMap.
How long we keep it
Membership records for as long as you are a member. The record that you voted until the election is certified and any protest period has passed, after which it is anonymised. Consent records for as long as the consent is relied on. The audit log for five years.
Your rights
Under the Data Privacy Act of 2012 you may ask to see the data we hold about you, have it corrected, object to its use, withdraw consent, or ask for it to be deleted where the law allows. The record that you voted cannot be deleted while an election result could still be contested, because it is the one-vote record. You may also complain to the National Privacy Commission.
